THREADS 2023 will take place from November 13 – 15, 2023 at the Omni Providence Hotel in Providence, RI.

Depending on where you’ll be traveling to Providence from, please plan to arrive either on Sunday, 11/12, or on Monday morning, 11/13. We will be providing more details soon about setup time for the Partner Tradeshow that takes place on Monday, to assist with arrival.

In the meantime, please see agenda outlined here for more details.

Specific session information (timing, room assignment, etc.) will be shared closer to the THREADS event. Please contact your Partnership Manager for additional details, or if you have questions.

You will be able to set up for Partner Tradeshow starting at 7:00AM on Monday, November 13th.

Tradeshow kicks off at 11:00AM and runs until 1:00PM. All materials must be ready to go by 11:00AM.

All materials must be removed from the Tradeshow rooms by 4:00PM that same Monday, November 13th.

Other basic setup details:

  • Each partner area will be roughly 10’ x 10’
  • No pipe/drape but each partner area will be separated/defined
  • 1- 6’ table / 2 chairs will be provided
  • Space available for pop up banners if you would like to bring these
  • Minimal booth decor recommended, as the purpose of this tradeshow is to connect and engage with advisors

You will receive your partner table number when you arrive on Sunday or Monday. You will not need this for shipping, and all shipping instructions are located below.

There will also be an interactive component to the Partner Tradeshow. Partners will be provided with stickers upon check-in to the Tradeshow. You’ll provide these to your booth visitors, in order for advisors then be entered into the Tradeshow raffle drawing that takes place.

If you need to ship materials in advance, please plan on sending them directly to the Omni Providence Hotel. Please follow the below directions exactly, so that materials are set aside for you to collect upon arrival. All shipments should be delivered to the hotel no more than (3) business days prior to the start of THREADS.

PLEASE NOTE: Group/Convention name will be “AAA Northeast THREADS”

Omni Providence Hotel only ships out through FedEx. Group/Exhibitors have to package their own shipments and apply Pre-Paid FedEx Labels. If you would like to ship out with another transportation company (i.e. UPS, Freight Company), you will be responsible to schedule a pick up time and pre-pay for the shipment.

Tuesday Evening, Nov. 15: Themed party attire for “Around the World” dinner – come dressed as your favorite or bucket list destination! Please see additional tips about this event in the section below.

For our Around the World Dinner on Tuesday evening, we ask that you come dressed as your favorite or bucket list destination. This could be as simple as wearing a piece of jewelry or other accessory that you obtained in that destination, a nice t-shirt you picked up while you were there, or clothing in colors that remind you of the destination.

Our goal is to appreciate these destinations and cultures, not to appropriate them. So, when deciding what to wear, our team has pulled together the below reflection questions to help determine whether you’re honoring or dishonoring the destination and its culture.

  1. Do I understand the significance of what I’m doing here?
  2. Am I honoring this culture or simply imitating it?
  3. Am I perpetuating a stereotype that might hurt those who belong to this culture?
  4. Am I doing this as a personal opportunity to interact with and experience another culture, or am I doing this for a photo I can post online?
